What file naming convention actually works long term?

Our shared folders have slowly turned into a mess of files like final.pdf, final2.pdf, final_revised.pdf, and final_revised_NEW.pdf. I want to introduce something more consistent, maybe date + project + document type + version. For those of you managing lots of documents, what naming convention has actually held up over time without becoming annoying to use?

I realize this is from a while ago, but your post about chaotic filenames really resonated. I’ve been using YYYY-MM-DD_Project_Type_Version consistently for years – simple and searchable. What system do others rely on for non-technical team members?

I settled on a date-project-type-version format, then used https://renamer.io to apply it to thousands of files at once. Its rule builder and preview saved me from mistakes, and the whole process felt fast and safe. This pattern has kept my folders clean for years now.
